HOWTO: Perform an upgrade from version 5.0 to 5.5 of Zetadocs for NAV

This technote explains how to perform an upgrade from version 5.0 to version 5.5 of Zetadocs for NAV.

Upgrading your Zetadocs for NAV system has three main stages shown below which will update your system to the Zetadocs for NAV v5.5 specification. The following process should enable you to upgrade from a Zetadocs for NAV v5.0 system, for details on installing from earlier versions please contact Equisys technical support at support@equisys.com.There are a number of differences between v5.0 and v5.5 of Zetadocs and NAV 2013 and previous NAV versions, please review this technote before upgrading to review the new and depreciated features to ensure your system continues to function as expected.

The following items must be upgraded:

  • Zetadocs for NAV Client
  • Zetadocs for NAV Objects
  • Zetadocs for NAV for Language Module

Zetadocs for NAV Client

The Zetadocs for NAV Client is installed in 3 separate parts:

  • Zetadocs PDF
  • Zetadocs API Runtime
  • Zetadocs NAV Client

To upgrade to version 5.5 simply:

  • Extract your product download, the Zetadocs setup program will autorun, choose relevant install option:
    • Zetadocs Delivery
    • Zetadocs Capture
    • Zetadocs Delivery and Capture
  • Select Zetadocs NAV Client optionto begin the install, a message will appear indicating that an upgrade will take place.
  • Follow the wizard to accept the software license agreement and complete the installation.

Zetadocs for NAV Objects

We strongly recommend that the current configuration is backed up for security reasons before updating your settings. The following steps will tell you how to back up the Zetadocs for NAV configuration before you upgrade.

  • Open the NAV Classic Client and log on to the database.
  • Navigate to the (Administration tab > Application Setup > Zetadocs Setup).
  • Run the Zetadocs General Settings form.
  • Click on Functions > Export configuration data to save the configuration data to an XML file.

Note that all the reports that were created for Zetadocs version 5.0 will work with Zetadocs version 5.5 without any modifications. Therefore, there is no need to export them during the upgrade process. If the Sample Reports were imported in NAV they will be replaced by blank reports when importing version 5.5 of the Zetadocs for NAV objects.

  • You are now ready to import the Zetadocs for NAV 5.5 objects in your database. The instructions given here are for NAV 2013, for other versions you must pick the file that’s appropriate for the version of NAV you are using.
  • From NAV, import the Zetadocs for NAV Objects – NAV7.00.fob file. You will be prompted to open the Import Worksheet – click No to open the Import Worksheet.
  • Once all the Zetadocs for NAV objects have been imported, ensure that the configuration has been kept intact. Recover configuration from the backup xml file if needed.

Cleaning up NAV Objects which are no longer used

It is recommended that you clean up the objects which are no longer required following this update. Leaving these objects in place will cause errors to appear when the objects are compiled, whilst these errors can be safely ignored it is recommended that you remove the objects.
  • Open the NAV Classic Client and log on to the database.
  • Open the Object Designer and locate the following objects:
    • Form 9009959
    • Form 9010008
    • Form 9010009
  • Once the objects are selected right click and delete them.

Zetadocs for NAV Language Module

If you are using a language other than English, you now need to update the language module to ensure that Zetadocs is properly displayed in your chosen language.

  • In the object designer select the All view. Then using a table filter Version = EQ* get the list to show all the Zetadocs objects and select them.
  • IMPORTANT: Ensure all the objects are selected (highlighted) before continuing. Otherwise the language module may not apply correctly.
  • Navigate to Tools > Language module > Import.
  • Browse to your product download then to Zetadocs NAV Server Components\Language Modules\.
  • Import the relevant language module for your region and version of NAV e.g. for a Dutch NAV 2013 system this would be the Zetadocs for NAV Language Module - NAV7.00NL.flm.

Users who have previously installed Zetadocs for NAV version 4.x and 5.0 to 5.4

The default searching mechanism between these earlier versions of Zetadocs for NAV and version 5.5 has changed. To enable your existing records to be searchable via Zetadocs you need to set Zetadocs to search by Record Link rather than by Zetadocs Archive ID.

  • Open NAV and then the Object Designer.
  • Locate and run the Zetadocs System Settings table (ID:9009959)
  • Add a new record called ForceSearchByRecordLink, check the bool field and close the table.
  • This will instruct Zetadocs to search your archive for items archived using the RecordLink method, enabling previously archived items to be listed along associated NAV records.
