PRB: HTML mail format mails are incorrectly formatted by the email gateway

- Zetafax 7 and later when used with the email gateway
Symptom
When using Microsoft Word as your default mail editor in Outlook and submitting HTML formatted e-mails to the Zetafax email gateway, the resulting fax has additional text that consists of the HTML coding of the original submitted document.
Cause
When using Word as you email editor, the format of the message is in HTML but also includes additional document information specific to Microsoft Office. Zetafax processes this additional section as normal text because it is not recognised as standard HTML or RTF coding.
Resolution
Users who want to send faxes via the e-mail gateway need to reconfigure Outlook to use its own email editor instead of Word. To do this work through the following steps:
- Log onto the system as the user that you wish to administer, launch Outlook. Then go to the Options dialog box (Tools|Options) as below.
- On the Options dialog box click the Mail Format tab, and uncheck the “Use Microsoft Word to edit e-mail messages” check box. Then click Apply then OK.
- When you compose a new message Outlook will use its own e-mail editor instead of Word. You may also use HTML as the body format with this editor.
Outlook 2007 users
The ability to change the email editor is not available in Outlook 2007. To resolve the issue you must change the ‘Internet Format’.
- Log onto the system as the user that you wish to administer, launch Outlook. Then go to the Options dialog box (Tools|Options) as below.
- On the Options dialog box click the Mail Format tab. Click on the ‘Internet Format’ button beneath and select ‘Convert the message to Outlook rich text’. Click OK to save the settings.
Status
This has been identified by Equisys as a problem with the software versions given above.
