Changes in this update
Feature enhancements
Automatic provisioning of new users
Users in Zetadocs Expenses can now be synchronized with Microsoft Entra ID (the new name for Azure Active Directory), so that a new Zetadocs Expenses account will be created automatically when you create a new Entra ID user. This reduces the work needed when new people join your organization, and makes it easier to manage the list of users in Zetadocs Expenses.
SCIM is an industry standard for automatic provisioning of users. Zetadocs Expenses now supports SCIM, and you can configure Microsoft Entra to integrate with Zetadocs Expenses using SCIM to create, edit and delete users automatically.
You can find more information about configuring this feature in our online help here.
Creating a batch of new users
The Sync Users screen already enables you to create a batch of new users by selecting from a list of your Microsoft users. We have now extended this feature so you can select from a list of users imported from a CSV text file instead. This means it can be used by companies who do not use Microsoft accounts, or by your reseller or service provider if they don’t have a Microsoft account for your company.
You can find more information about using this feature in our online help here.
Improvements to mobile apps
We have changed the framework we use to build the apps for Apple iOS and Android mobile devices, to help us maintain the reliability of these apps and improve protection against future security risks.
FTP bank feed support for Visa cards
The FTP bank feed now supports Visa cards, extending the existing support for Mastercard and American Express payment cards with this feed.
The FTP bank feed imports daily payment card transactions automatically. This saves work for the finance team, makes it easier for cardholders to create expenses to justify the payments, and reduces errors when reconciling expenses to payment transactions.
To use the FTP bank feed with Zetadocs Expenses you will need to ask your bank to enable this service. Please contact Equisys if you wish to do this so that we can discuss your requirements and help you with the application.
Copy settings when creating new accounts
We have streamlined the process for creating new company accounts, so that fewer manual steps are required to configure each new system. This makes it easier for us to create test systems for companies who want to try out new features or use a different system with their Business Central Sandbox test environment.
Support Business Central 24 for cloud systems
The Zetadocs Expenses Extension for Microsoft hosted Business Central systems has been validated with Business Central 2024 release wave 1 (BC24).
Include account name in notification emails
We have changed the notification emails which the system sends during the report approval process so that they include the account name rather than the master company name as before.
Quality and performance improvements
This update includes a number of quality and performance improvements, including the following
Improve reliability when exporting to NAV
In a previous update we improved how the Zetadocs Expenses service exports reports to Business Central, switching to a newer architecture to improve reliability of the export process.
We have now updated the Zetadocs Expenses Connector service so that it supports this new architecture with NAV systems using the Zetadocs Expenses NAV codeunits, bringing the same reliability benefits to older NAV systems.
The Zetadocs Expenses Connector service is a Windows application. It can be upgraded simply by running a Windows install program on the NAV server computer, without any need to update the installed Zetadocs Expenses NAV codeunits or make any other changes to the NAV system.
We recommend that all customers using Zetadocs Expenses with a NAV system should upgrade the Zetadocs Expenses Connector service. Please contact Equisys for more information or assistance with this upgrade.
This change requires the Zetadocs Expenses Connector service to be upgraded to the version in this update (or later version).
Improve reliability when exporting to further Business Central systems
We have extended the new export architecture for Business Central on-premises systems, adding support for systems using very old versions of the Zetadocs Expenses Extension, and for systems using a direct IP connection for communication between the Zetadocs Expenses service and the Zetadocs Expenses Extension.
The Zetadocs Expenses service will now use a newer mechanism for exporting reports to these systems, improving the reliability for the export process.
Automatic matching of transactions and expenses
We have corrected an issue which prevented expenses from being matched automatically to payment card transactions in some instances.
This issue was introduced in the February 2024 update, and was corrected on March 6th, 2024.
Additional upgrade steps
Extension for Business Central
If you are using a Microsoft hosted version of Business Central, you can update the Zetadocs Expenses Extension from the Manage Apps page in the Business Central Admin Center. Updates are typically available on Microsoft AppSource within a few days of release.
If you are using a Business Central system running on-premises or hosted by another company, you should contact your Business Central Reseller (VAR) for information about how to upgrade the Zetadocs Expenses Extension.
This release is compatible with all previous versions of the Extension for Business Central. However if you are using a previous version we recommend that you upgrade to the latest version to benefit from stability and performance improvements.
NAV Server Components
The NAV Server Components have not been updated in this release.
This release is compatible with previous versions of the NAV Server Components (versions 3.3.18178 and later).
The Zetadocs Expenses Connector Windows service is installed on your NAV Server computer, and manages communication between the Zetadocs server and the Zetadocs NAV Server Components. If the Zetadocs Expenses Connector Windows service on your system is version 3.4.24080 or older then we recommend you upgrade it to version 3.4.24081 (or later) to benefit from reliability and performance improvements when exporting reports.
The Zetadocs Expenses Connector Windows service can be updated simply without affecting your NAV system. Please contact Equisys for more information.
