Feature enhancements

Sync users screen

We have added a new Sync Users screen in the admin site, making it easier to add batches of new users.  You can display the screen from the Manage Users screen if you are signed in to the admin site with your Microsoft account.

The screen displays a list of Microsoft users for your company (Microsoft Azure Active Director tenant) who do not have an Expenses account.  You can simply select the users in the list who require Expenses accounts, then create these accounts in a single operation.  The new accounts which have been created are then shown on the screen so you can edit individual settings as required and send the welcome emails.

The screen includes an option to hide selected Microsoft users who do not require an Expenses account – for example for people who have left your organization, or if you have created a Microsoft account for someone in a different organization who will not be able to claim expenses.

Report status changed to Completed if no expenses to export

When the system processes an export request for an Expense Report it may find that there are no expenses to export.  This is unusual, but could happen if export has been disabled for the payment method.

Previously if none of the expenses on a report needed to be exported the report status was left as Approved.  This meant that the report was still displayed in the Awaiting Export filter list in the Status Screen which was not intuitive.  The behaviour has now been changed so the report will be marked as Completed in this case.

Quality and performance improvements

This update includes a number of quality and performance improvements including the following:

Empty Vehicle Report fails to export

Some companies require users to submit a Vehicle Report each month even if there are no expenses to submit for that vehicle.  This may be because the company wishes to record the mileage reading for a company vehicle, or to charge the user for their personal mileage.

The July 2022 update introduced a fault which caused export of a Vehicle Report to fail if it had no expenses.  This was corrected on August 17, 2022, and any Vehicle Reports which were affected by the issue can now be exported using the Status Screen.

Expense Report screen doesn’t show all expenses

The July 2022 update introduced a display fault in the View Expense Report and Edit Expense Report screen.  The fault caused some of the attached expenses attached to the report to be omitted from the display in certain cases.  This has now been corrected.
