Auto Cleanup
Zetafax Auto Cleanup allows you to set Zetafax to clean your users Inbox and Outbox of unwanted messages automatically. This can be scheduled to occur outside of normal operating hours and is fully customizable enabling you to specify both general cleanup settings that apply to all accounts as well as specific per User or Group settings. If Zetafax is not running at the scheduled Auto Cleanup time it will automatically perform a Cleanup when Zetafax is next started. Warning: Items deleted via Auto Cleanup will not be added to the Recycling Bin and will be permanently deleted.
Scheduling Auto Cleanup
To adjust the Auto Cleanup settings open the Zetafax Configuration program and select Server Settings and then scroll down to Automatic cleanup of messages, the configuration options window will appear.
•Check the Enable automatic cleanup checkbox
•Use the Day drop down option to select the day on which to run Auto Cleanup, you can either select a specific day or All for every day.
•Next schedule the time to run Auto Cleanup, using the 24 hour clock.
•Please note it is recommended that this is set to a time of low usage such as during the night.
Setting the System Wide Cleanup Criteria
The Auto Cleanup feature allows you to specify limits for your systems Inbox and Outbox. These settings allow you to determine how long items are retained for as well as a maximum number of messages that are allowed.
•To determine the criteria used by Auto Cleanup to decide which items to delete click the Settings... button.
•Activate each of the criteria that you require, these are:
•Outbox Settings
oAbort held messages after - Will abort any messages that have been held after the specified timeframe, the default is 180 days.
oDelete successful messages after - Will delete sent messages after the specified timeframe, the default is 180 days.
oDelete failed messages after - Will delete failed messages after the specified timeframe, the default is 180 days.
oOutbox can contain no more than - Will delete the oldest messages to maintain the specified Outbox size, note Zetafax will prioritize the deletion of successfully sent messages over held items to ensure queued messages are not deleted in error. The default is set to 100 messages.
•Inbox Settings
oDelete received messages after - Will delete messages after the specified timeframe, the default is 180 days.
oInbox can contain no more than - Will delete the oldest messages to maintain the specified Inbox size, the default is 100 messages.
•Click OK to close the form.
Please note you must choose a value between 0 and 9999 for each option activated, note the arrow controls stop at a minimum of 14 days and a maximum of 999 which we are the recommended limits. To add a value outside this range click into the field and type it in manually.
Setting the User and Group Specific Cleanup Criteria
The User and Group settings operate in the same way as the system wide Auto Cleanup settings, but if a User or Group has their own settings these will override the system settings. The Group option also lacks the Outbox settings as Groups do not have dedicated Outbox's.
•To adjust the Auto Cleanup settings open the Zetafax Configuration program and select Users and user groups.
•Then select either the Zetafax users or Zetafax groups as required.
•Next select the user or group you require, when the user or group details window appears select the Cleanup... button.
•Activate each of the criteria that you require, these are:
