Managing user accounts using Lotus Notes

 


 

Having created at least one email user profile account you can use the Lotus Notes public address book, NAMES.NSF to manage email accounts that are enabled to use Zetafax.

 

It is recommended that where shared email user profile accounts are used, the Lotus Notes public address book, NAMES.NSF is used to manage whether email accounts are enabled to use Zetafax. Conversely, it is recommended that Zetafax Configuration is used to manage installations where private accounts are used.

 

Configuring defaults

The Zetafax Default Options setting is used to specify the database defaults for the Zetafax options for all notes users. When you add a new person, they inherit the default values specified in this setting.

 

Open the Notes server address book, NAMES.NSF on the Notes administrators workspace.

Select the Zetafax view and select Default Options.

Select Outgoing Fax.

 

If you have already created a Zetafax email profile account and want every Lotus Notes user to use this account to send and receive faxes:

 

Select Allowed to send.

 

You must then select an email profile account by clicking the selector arrows in the Default Zetafax Options screen. Using this option, you need not use Zetafax Configuration to manage Zetafax accounts. Each new person you create will be enabled to send faxes using their Notes client.

 

If you intend to create a separate Zetafax account for each Notes user:

 

Select Managed in Zetafax .

 

For each new Notes user, you must create a private Zetafax account using the ZFSETUP program.

 

If you do not want every Notes user to be enabled to send faxes using Zetafax:

 

Select Not allowed to send .

 

Finally, from within the Default Zetafax Options screen, you can select a default cover sheet and letterhead for each new user. If these lists are empty you will be prompted to start the Zetafax Server to pass the Profile, cover sheet and Letterhead list to the Mail router mailbox you created earlier.

 

Zetafax options

When you add a new Notes user, the person will inherit the default values specified for the site. You can change the Zetafax options for each user by changing the properties of their account.

 

Open the Notes server address book, NAMES.NSF on the Notes administrators workspace.

Select the Zetafax view and select People .

 

You can configure whether users are to have received faxes routed to their Notes Inboxes using the Incoming fax section:

 

Select Allowed to receive and specify their inward routing code.

 

The routing of inbound faxes using DID requires additional configuration on the Zetafax Server. See the Automatic inward routing topics for further details on configuring DID routing.
