Step 5: Create an LCR Rule for Sending Faxes

The next stage in setting up the Zetafax Online connection is to specify which faxes should be sent using the service.  This is done by creating an LCR rule in the Zetafax Server.

Most systems using Zetafax Online use a single Zetafax Online account and do not have a local fax board or other fax device.  These systems require a simple universal rule, specifying that all faxes should be sent using Zetafax Online.

Creating a universal rule

The following steps create a universal rule, to send all faxes via a single Zetafax Online link.

In the Zetafax Configuration program, click Server Settings.

Select the LCR option and then select Rules... to display the Routing Rules dialog.

Click New to display the Edit Routing Rule dialog.

Type a short description in the Rule description field (e.g. “Zetafax Online”).

Click the Server tab, select Zetafax Online in the Other servers available for sending messages section, then click Add to move it to the list of servers to be used in the rule.

Clear (uncheck) the Use local server if no others are available checkbox.

Display the Summary tab and review the settings to ensure they are as expected.  The destinations and additional criteria fields should be empty (meaning that the rule applies to all messages), and the server list should include just the Zetafax Online link.

Click OK to save the new rule, then click OK on the remaining dialog boxes to return to the Zetafax Configuration Program main screen.

Creating rules for more advanced scenarios

A single universal rule, as detailed above, will be sufficient for most Zetafax systems using Zetafax Online.  Some configurations will require more complex rules to be created – for example:

For automated systems used by multiple companies (multi-tenant CommsEngine servers), a separate Zetafax Online account can be used for each company.  In this case each company would have a separate Zetafax user account, LCR link and LCR rule for that link.  This would direct faxes submitted via that Zetafax user account to the correct Zetafax Online account for billing purposes, and ensure that faxes received without onward routing information would be passed to the correct administrative user for manual processing.

For systems installed with a local fax device as well as a Zetafax Online connection, you can configure rules to cause some faxes to be sent using the local device – for example, specifying that faxes to local numbers are sent using the local device to reduce call costs.

For systems using Zetafax Online for intermittent high volume usage, you can create a separate Zetafax user account for bulk fax broadcasts, then configure the rule so that Zetafax Online is only used when sending from that user account.

For systems installed with a local fax device as well as a Zetafax Online connection, you can configure the rule so that Zetafax uses the local device for sending if the Internet connection fails, by setting the “use local server if no other servers are available” option for the rule.  Conversely you can configure Zetafax to use Zetafax Online only if the local device fails, by specifying the local server above Zetafax Online in the rule.
