Zetafax Messaging Site Options for Exchange 2003

 


 

The Zetafax Options page in the Site Properties dialog is used to specify the default sending options for each mailbox for this site. Changing the settings on this dialog will affect any existing mailboxes that are configured to use the site default settings.

 

Managed by Zetafax configuration program (for private Zetafax accounts)

Select this option if by default users are to use a private (personal) Zetafax account to send faxes submitted via e-mail.

 

Private accounts allow the user to run the Zetafax Client program to check the status of faxes that they have submitted. Faxes submitted by private accounts can also be tracked back to an individual user in the Zetafax Server logs. These accounts are created and managed individually using the Zetafax Configuration program on the Zetafax Server computer.

 

Not allowed to send

Select this option if by default you do not wish users to be enabled to use the Zetafax e-mail gateway. Any faxes that the user submits via e-mail will be rejected. You will then only need to configure the remaining few users with the user default Zetafax options page

 

Allowed to send, using shared Zetafax mail profile account.

Select this option if by default you wish users to send faxes via a shared Zetafax mail profile account.

Mail profile accounts are special Zetafax user accounts which can be used by more than one e-mail user. You can either use one mail profile account for all users, or create a number of accounts (e.g. one per department).

You create mail profile accounts using the Zetafax Configuration program on the Zetafax Server. They are simpler to manage than private Zetafax accounts, since you do not need to make any further changes on the Zetafax Server when adding or removing users. However, users with mail profile accounts are not able to use the Zetafax Client program to monitor their faxes.

 

Zetafax account

This is the default Zetafax mail profile account that users will use to submit faxes to the Zetafax Server. The list shows all mail profile accounts configured on the Zetafax Server – it is updated automatically by the Zetafax connector, or explicitly by choosing 'Update lists now' on this dialog.

 

Do not print sent faxes.

Select this option to ensure that sent faxes are not printed by default. If the option is not selected, the Zetafax Server uses the default printing options for the Zetafax account.

 

Use Outlook forms for sent and received faxes (recommended)

Select this option to enable extra functionality for Microsoft's Outlook email client. Emails will be sent using Outlook forms, and the Outlook Fax Outbox will be created and updated for each user. Uncheck this box if most mailboxes are accessed with an email client other than Outlook, or if the Zetafax Outlook Extensions are not installed.

 

Default cover sheet

Specifies the default cover sheet to be used.

The Zetafax extensions for Outlook allow the cover sheet to be selected by the user directly. This setting is then only used as the default when Outlook (or the Exchange client) is first run.

If the Zetafax extensions have not been installed on a given client computer, this setting will be used to select a cover sheet. This setting will also be used if the 'Always use default cover sheet and letterhead' option is selected.

The list shows all cover sheets configured on the Zetafax Server – it is updated automatically by the Zetafax Connector, or explicitly by choosing 'Update lists now' on this dialog.

 

Default letterhead

Specifies the default letterhead to be used.

The Zetafax extensions for Outlook allow the letterhead to be selected by the user directly. This setting is then only used as the default when Outlook (or the Exchange client) is first run.

This setting is not used as a default if the Zetafax extensions have not been installed on a given client computer - the default is then for no letterhead to be used. However, this setting will be used if the 'Always use default cover sheet and letterhead' option is selected.

The list shows all letterheads configured on the Zetafax Server – it is updated automatically by the Zetafax Connector, or explicitly by choosing 'Update lists now' on this dialog.

 

Always use default cover sheet and letterhead

Use this option to force all faxes sent from this site to use the default cover sheet and letterhead. Users will not have the option to select cover sheet or letterhead using the Zetafax extensions for Outlook.

 

Advanced settings...

This button configures the rendering of email body text:

 

Allow Rich Text Format (RTF)

Check this box to allow email message bodies to be rendered as RTF in faxes. If this option is not selected all email message bodies from all users will be rendered as plain text.

 

Default message body format

This setting determines the default message body format in Outlook Zetafax properties. 'Optimized' means that the Zetafax Server will check if there is any RTF formatting in the message (such as bold or italic) and render as RTF if there is formatting, or as plain text if there isn't. 'Rich Text Format' messages are always rendered as RTF and 'Text only' messages are always rendered as plain text. This default setting can be overridden by users with the Zetafax extensions for Outlook.

 

Update lists from the Zetafax connector on this server

The box lists all the servers in the Exchange organization that have a Zetafax connector installed. Select the connector that you wish to provide the cover sheet, letterhead and mail user profile lists. For most installations there will only be one connector installed.

If there is more than one connector, choose the one that will handle FAX messages from this Exchange Site. If your Exchange routing is configured so that a fax from a given mailbox could be routed to a number of different connectors, make sure that the Zetafax Servers all have the same cover sheets, letterheads and mail profile accounts configured. Failure to do this will lead to inconsistencies between cover sheets specified in fax messages and those supported by the Zetafax Server.

 

Update lists automatically

Check this box to allow the Zetafax connector to automatically update lists of cover sheets, letterheads and mail user profile accounts as necessary.

 

Update lists now

Use this button to update the lists of cover sheets, letterheads and Zetafax mail profiles (not necessary if 'Update lists automatically' is selected.)

 

Add recipient containers

When the Zetafax Connector is installed, the Zetafax Options page is added to all existing recipient containers, and will appear on any existing or new mailboxes in those containers.

Use this option if you have created new recipient containers after installing the Zetafax connector, to add the Zetafax Options page to those containers.
