Sending faxes with HP Digital Sender Devices

 


 

Checking the Zetafax Server programs

Once you have completed the installation and configurationprocedures, you can start the Zetafax Server. We recommend that you first run it as an application from Windows Explorer, rather than as a service, to check the installation.

 

As the server loads modules it logs messages to the server log and the main server window indicating the name of the programs it is loading. One of these programs will be called HPSCAN. If HPSCAN does not appear, check that the instructions in Configuring the Zetafax Server programs have been followed.

 

Sending from a specified user account

To begin, the screen on the scanner should present a "FAX" option. If not, press the RED button to reset it.

Click the button on the display nearest the FAX option.

 

The scanner will then prompt you for a fax number and a user to notify.

If you have pre-configured any fax recipients using the JetAdmin utility you can specify them in the FAX field. Otherwise use the numeric keypad to type in a fax number and press the Enter key.

 

You can repeat this to send the same thing to several people.

In the NOTIFY field, type your network username and press Enter .

 

Put your document on the feeder, including a cover sheet if you want one, and press the GREEN button.

 

Warning: The list of numbers you enter is erased only when you return to the scanner's login screen. If you want to send a second fax to a different number you must either log out first by pressing the RED button, or use the left arrow key to deselect the previous numbers.

 

The fax is then submitted to the Zetafax Server for sending. Zetafax will look at the network names for each user to determine which account to use; if no match is found it will use the guest account specified in the Zetafax Server configuration program, or reject the fax if no guest account was specified.

 

After a few seconds you should see a message on the Zetafax Server showing progress as it queues the message for the selected user. If you look at the Zetafax Client for that user you will see a new entry for the message, and you will be able to track its progress as for any other fax.

 

When the message completes, Zetafax notifies the HP scanner software of the result. This can then be viewed in the transaction log on the HP Digital Sender device utility program.

 

If the fax failed, it remains in the Zetafax Out window for that user; this should be checked and tidied periodically as normal.

 

If the fax is successful, it will be deleted automatically if the Delete successful messages option was selected in the Zetafax Server configuration program.

 

Sending using the guest account

 

Unless the HP Digital Sender Device has been configured to require every user to specify their username, you can send directly from the scanner without having to log in first (rather like on a standard fax machine). There is no need to enter a network username in the NOTIFY field. Enter the fax number as before and press the GREEN button.

 

This requires that a guest Zetafax account has been previously created.

 

Message options

 

Faxes submitted using the HP Digital Sender Device are sent with no additional cover sheet or letterhead, which means that as for a standard fax machine you must include a cover sheet with the document if required. Otherwise all message options, including the sender name on the fax header line, are the defaults for the Zetafax user account which is used.
