Privacy policy
It is our policy to treat all information you provide to us in confidence and in accordance with the purposes set out below. We will not disclose information about you to any third parties other than those persons/organizations specified in this statement.
By using any of our websites or software, or providing your personal information to us, you consent to the limited uses of information about you according to this statement.
Collection of information from your device and use of our websites and software
We receive, and we may record, information from your computer, mobile device and browser, including the page you request, your IP address and location, and the values of any cookies we have previously stored. We may also record how you use our websites and software. We use this information to customize the displays you see, improve our services, contact you, conduct research, and provide us with information for reports and analysis concerning our websites, our distribution network, our marketing strategies, and our product and service offerings.
Collection of personal information
We collect personal information through our websites (in the event that you have typed in your details onto a form or clicked on a link in an email we sent you), during the installation process for our software, and/or through other information requests and any emails you send to us.
Where appropriate, we will make a record of the software product(s) that you choose to purchase/download/use online and any information you give us. There is also certain demographic information gathered regarding your visits to our websites and use of our software which is used for statistical purposes only.
Purposes for which personal information is used
We will process the above information for the following purposes:
- providing you with information about products and new releases and services we offer from time to time (you can always choose whether to receive promotional emails, telephone calls and postal mail from us);
- where you are based outside of the United Kingdom, informing your local Equisys subsidiary or distributor of your interest in our products and services, enabling you to have a point of contact for Equisys products and services in your country or nearby;
- storing your information for the purposes of providing you with support and maintenance from time to time;
- managing your account with us as a customer;
- conducting market research; and
- to provide us with information about our business (see below).
In relation to point 6, we may use your information in order to produce reports and analysis concerning our websites, our distribution network, our marketing strategies, and our product and service offerings. No individual users are identified from such reports and analysis.
Disclosure of personal information
We may disclose your personal information to the following parties:
- other members of the Equisys group;
- local distributors (see purposes above);
- our agents and professional advisors;
- sub-contractors and service providers;
- law enforcement bodies, our regulators or other competent authorities in accordance with legal requirements or good practice; and
- third party companies (with your consent).
We take steps to ensure that all such third parties adhere to equivalent standards of privacy protection.
Control of personal information
You can ask us whether we are processing your personal information, including where and for what purpose, and request from us an electronic copy of it. You can also opt in or out of any electronic and telephone marketing or ask that your personal information is deleted in accordance with the General Data Protection Regulation. Standard Contractual Clauses (SCC)
We use Microsoft Azure to host our Software as a Service products and Microsoft cloud services for our back-office systems. The personal information we collect may be transferred to Microsoft’s servers in the US. Microsoft has Standard Contract Clauses in its Online Services Terms regarding the collection, use, retention and other processing on its servers of personal information from the United Kingdom, European Union member countries and Switzerland to comply with the applicable laws on data protection in these countries.
PSD2 and Open Banking
For our Zetadocs Expenses service, we use a tool provided by TrueLayer Limited (“TrueLayer”) that allows you to send information on your payment accounts to us and other service providers. In order to use our services, you will be redirected to your bank by TrueLayer in order to authenticate yourself. The TrueLayer Terms of Service set out the terms on which you agree to information on your payment accounts being accessed for the purposes of transmitting that information to us. TrueLayer is subject to UK and EU data protection laws and is required to treat your data in accordance with those laws, as well as the Terms of Service and TrueLayer’s Privacy Policy. TrueLayer is authorised by the UK Financial Conduct Authority under the Payment Services Regulations 2017 to provide account information services and payment initiation services (Firm Reference Number: 793171).
Changes
If we are involved in a reorganization, merger, acquisition or sale of our assets, then your information may be disclosed to our advisers and any prospective purchasers and their advisers, and will be transferred as part of that deal.
We may revise this privacy policy from time to time; we will post the current version on our website. If a revision meaningfully reduces your rights and we have your email address, then we will notify you. It was last updated on 8th April 2021.
