Summary
Email profile accounts allow a number of email users to share a Zetafax account for sending and receiving faxes through the email gateway. This section describes the process of creating an email user profile account and enabling email users using Zetafax Configuration.

The Zetafax Configuration program will generate Zetafax usernames automatically based on the email username.
- Run Zetafax Configuration and select Users and user groups.
- Email Gateway users from the submenu.
- Select a single user or multiple users which have not been configured to use Zetafax from the users listed and choose Enable (Action menu) button.
Zetafax will prompt you whether you wish to create a private account for this user or have them share an email profile account.
Creating a Private account
- Choose Private accounts and click the OK button.
Provide the format of network login accounts used on your network.
- Select the convention used on your network from the examples listed; e.g. First initial and last name (JSmith), or specify a custom format.
- Ensure that the Network login ID and Full name fields have been completed and are correct.
Sharing an email profile account
- Choose the Users and user groups option from the Zetafax Configuration main menu.
- Choose Email user profiles options in the left pane.
- Click Add (Action menu) to create a new email profile account.
- In the Add new Zetafax email user profile dialog enter the name of the email user profile account you wish to add and click the OK button.
Enabling email user accounts using Zetafax Configuration
- Choose the Users and user groups option from the Zetafax Configuration main menu.
- Choose Email gateway users from the submenu.
- Select a single user or multiple users which have not been configured to use Zetafax from the users listed and choose Enable (Action menu).
You will be prompted whether you wish to enable this user using an email user profile account or using a private Zetafax account:
- Select Single shared account and click OK.
You will then be prompted to choose an email user profile account, or create a new one:
- Choose the email profile account you created earlier and click OK to enable the user.
Managing user accounts using Microsoft Exchange 2003/2007
If you have already created a Zetafax email profile account and want every Microsoft Exchange Inbox to use this account to send and receive faxes, please enable the (All Exchange Users) email gateway user from the Zetafax Configuration Program.
Each new mailbox you create will then be enabled to send faxes using their email client.
You can enable mailboxes to use Zetafax individually using the procedure described below.
Zetafax options
- Launch the Active Directory Users and Computers program and highlight the user you wish to configure.
- Click Properties for that user and select the Zetafax options tab.
You can configure whether users are to receive faxes routed to their email Inboxes by using the Receiving section.
- Select Enabled to receive faxes with direct dial (DID) number and specify the inward routing code.
The routing of inbound faxes using DID requires additional configuration on the Zetafax Server. See the Automatic inward routing topics for further details on configuring DID routing.
Managing user accounts using Lotus Notes
Having created at least one email user profile account you can use the Lotus Notes public address book, NAMES.NSF to manage email accounts that are enabled to use Zetafax.
It is recommended that Zetafax Configuration is used to manage installations where private accounts are used.
Zetafax options
When you add a new Notes user, the person will inherit the default values specified for the site. You can change the Zetafax options for each user by changing the properties of their account.
- Open the Notes server address book, NAMES.NSF on the Notes administrators’ workspace.
- Select the Zetafax view and select People.
You can configure whether users are to receive faxes routed to their Notes Inboxes using the Incoming fax section:
- Select Allowed to receive and specify their inward routing code.
The routing of inbound faxes using DID requires additional configuration of the Zetafax Server. See the Automatic inward routing topics for further details on configuring DID routing.
