What’s new in Zetadocs Expenses January 2025 update

Changes in this update

Feature enhancements

There are two new enhancements designed to make it easier for administrators to manage user accounts, particularly on systems where there is a large number of users:

Additional information shown on the Manage Users page

It is now possible to see additional information on the Manage Users page within the Zetadocs System Settings, including the Default Approver and Default processor for each user.

Additional information can also be viewed easily by selecting the information icon, such as any group(s), role(s) and delegate user(s) that are configured for each user.

Bulk management of users

It is now possible to edit users in bulk on the Manager Users page. Multiple users can be selected, and certain user settings can then be modified across all the selected accounts at the same time. User settings that can be bulk updated include enabling/disabling of the user account, group, default approver, default processor and delegate settings.

Both the changes above are designed to save time for administrators, by reducing the need to click into each user account individually to view/update the configuration.

Quality and performance improvements

This update includes various improvements including the following:

Some American Express bank transaction files are not able to be imported

Fixed an issue whereby some American Express transaction files had an unexpected formatting which resulted in error importing card payments.

Reimbursable amount showing incorrectly on report approval screen

Resolved an issue where some reports did not include all reimbursable amounts on the display for report approval. This was a visual error on the UI in certain scenarios with a mix of payment, fuel and mileage expenses.

Robustness improvements for approval and export

Additional improvements have been made for some rare scenarios where report approval and exports were stuck in a processing state.

Add Expense/Report button on iPhone 16 out of alignment

Fixed a UI issue with iPhone 16 and the Zetadocs Expenses app, where the Add (+) button on some screens was positioned too close to the bottom right edge of the screen.

Matched expenses not showing on Payment Card Reports

An issue was identified with payments showing as unmatched and matched expenses not showing up on a Payment Card Report, despite a user having matched the payment to an expense. This occurred when users other than the cardholder performed the matching. The issue impacted certain payments matched between 19th November 2024 and 15th January 2025.

Additional upgrade steps

Extension for Business Central

This release is compatible with all previous versions of the Extension for Business Central. However, if you are using a previous version, we recommend that you upgrade to the latest version to benefit from stability and performance improvements.

NAV Server Components

The NAV Server Components have not been updated in this release.

This release is compatible with previous versions of the NAV Server Components (versions 3.3.18178 and later).

The Zetadocs Expenses Connector Windows service is installed on your NAV Server computer and manages communication between the Zetadocs server and the Zetadocs NAV Server Components.  If the Zetadocs Expenses Connector Windows service on your system is version 3.4.24080 or older, then we recommend you upgrade it to version 3.4.24081 (or later) to benefit from reliability and performance improvements when exporting reports.

Versions 3.4.24080 or older of the Zetadocs Expenses Connector will no longer be compatible with the Zetadocs Expenses Cloud service after 10th February 2025.

The Zetadocs Expenses Connector Windows service can be updated simply without affecting your NAV system.  Please contact Equisys for more information.

Reporting Template

The PowerBI Reporting Template has not been updated in this release.

Mobile apps

Installed mobile apps will be updated automatically on mobile devices where this is enabled.
