Changes in this update
Feature enhancements
The main enhancements in this release are as follows.
Export of credit card expenses
Expenses which were paid for with a company credit card or other non-reimbursable payment type can now be exported to your NAV system. When the expense report is approved, Zetadocs Expenses will create a separate purchase invoice with the non-reimbursable credit card expenses.
This can be used to categorize payments on entered card statements (by entering a control account adjustment line manually before posting), or used to enter a received card statement directly onto NAV. For further details, see Expense report export.
Customisation of non-reimbursable purchase invoices
NAV VARs can customize the system to set NAV “dimension” analysis fields on exported reimbursable expenses. We have extended this feature to support the new export feature for company credit cards and other non-reimbursable payment types.
If your NAV system has been customized in this way, then you may wish to implement a similar customization for non-reimbursable expenses before you enable the new export feature for these. For more information about this, contact your NAV reseller or Equisys, or see Expense report export.
Feature preview
We have added a feature which enables us to enable preview features for individual accounts. This will enable our channel partners and “early adopter” customers to learn about new features and give us feedback on them before we make them generally available for new and existing customers.
Automatic update of desktop browser app
We have improved the behavior of the desktop browser client app, so that the app now updates automatically after we update the service rather than only updating after you close the browser or refresh the page.
Major database update
This release includes a major update to the way we store expenses in the database, in preparation for the “expense itemization” feature which we will be releasing soon. If you are using a mobile app to access the service then you will need to upgrade the app before continuing to use the service.
On most devices the app will be upgraded automatically, but if this has not yet happened before you run the app then you will see a message informing you of the need to upgrade.
Quality and performance improvements
This update includes a number of quality and performance improvements, including the following:
Status screen improvements
We have made several improvements to the information shown on the status screen, which is used by processors to view the status of expense reports which have been submitted for approval. This includes displaying the status correctly for old reports, correcting the order in which reports are displayed, and enabling the screen to be used on small devices.
Additional upgrade steps
Zetadocs Expenses Connector for NAV
For systems which are using NAV integration, upgrading the Zetadocs Expenses Connector and codeunits is required if you wish to enable export of non-reimbursable expenses.
Mobile apps
As this is a major version upgrade, users running older versions of the mobile apps (version 3.3.374 or earlier) will need to upgrade the app. Older versions of the app will check the server version when online, and warn if an upgrade is required.
Users who have installed older app versions will have been notified of the new release, and can upgrade simply from the Apple TestFlight app or Google Play Store.
Known issues
The option to use a control account when exporting credit card payments to NAV is not supported with this software release. The option should be left disabled in the configuration settings screen.
