Feature enhancements
Importing jobs and tasks from a CSV file
The parent property and display group settings for a custom property improve the way that job tasks are displayed in the expense form. When these settings are enabled the expense form only shows job tasks for the selected job and includes group headings, making it easier for the user to choose the correct task and protecting against mistakes.
Previously these settings could only be used if the list of tasks was either being imported automatically from a Business Central company or configured manually. We have now extended the CSV import file format to support these settings so that they can be used with older NAV systems which do not support automatic sync.
The CSV file for importing custom property values can now include two additional columns containing the parent property value and display group for each value. The extra columns will only be used if the relevant setting (parent property or display group) is enabled for the property. They are optional, so import files using the previous format will continue to work as before.
Payment card transaction files using comma decimal separators
Zetadocs Expenses now comma decimal separators in payment card transaction files as an alternative to full stop separators. This improves support for payment cards from some European banks, and reduces the need to edit the downloaded transaction file before it can be imported.
Improved support for Dutch Business Central systems
On Dutch Business Central systems the purchase invoice includes an extra field called “Doc. Amount Incl. VAT” which must be set to the invoice total before the record can be posted.
The Zetadocs Expenses Extension for Business Central now sets this field automatically on Dutch systems when exporting an Expense Report. This removes the need for the finance processor to set this field manually when posting the purchase invoice.
This change requires the Extension for Business Central to be upgraded to the version included in this release.
Preview features
The following enhancements are enabled on selected accounts only. This allows channel partners and other users to understand the feature and to give feedback on its implementation before general release. Please contact Equisys if you wish to use any of these preview features.
Automatic data entry from expense receipts
When you add a receipt to an expense, Zetadocs Expenses now analyzes the receipt to extract the vendor, expense amount and VAT (sales tax) values, then sets these fields on the Expense form automatically. This saves time for the submitter and reduces mistakes.
The analysis is performed on the first receipt which is added, and ignores any fields which have already been set by the user. It is supported on Plus Edition and Essentials Edition systems, and works with receipt photos and PDF files.
Quality and performance improvements
This update includes a number of quality and performance improvements, including the following:
Improvements to Payment Card Report matching
We have corrected a number of issues in the Payment Card Report screen which is used to reconcile payment card transactions to cardholder expenses.
Error when a custom property has an empty permitted user list
We have corrected an issue with submitting expenses if a custom property was restricted to specified users without any users or user groups having been selected.
Improvements to export process reliability
We have corrected an infrequent issue which could cause a report to be set to an error state if the export process failed, requiring intervention by Equisys to complete the export process.
